Creating a more flexible future for school management

Henley High School selected Daymap by Civica because it provided flexible school reporting software that could be customised in-house without costly ongoing development.

  • Complex transition completed in 6 months

  • Stronger data visibility and insights

  • Fully customisable reporting.

At Henley High School in South Australia, delivering a modern, flexible learning experience is core to its identity as a leading sports academy. With more than 1,400 students and a unique vertically integrated curriculum, the school needed a student management platform that could keep pace with both operational complexity and evolving expectations.

The challenge

For Assistant Principal Greg Pascoe, who oversees daily operations, HR, and school systems, the decision to move to Daymap by Civica in 2025 was driven by a clear priority: greater flexibility and control.

“We’d reached a point where our reporting just wasn’t working for us,” Greg explains. “We were locked into templates that didn’t reflect what we wanted to communicate. To customise them, we were looking at costs upwards of $50,000 – and even then, we couldn’t make changes ourselves later.”

The solution

After evaluating options, Henley High School selected Daymap by Civica for its strength in the education sector for school reporting and assessment, alongside its strong adoption across South Australian public schools.

Henley High School needed customisable school reporting software that could support its vertically integrated curriculum without expensive development costs. The flexibility of the school reporting system enabled the school to align reports with its unique curriculum requirements.

“Daymap reports can be customised to do pretty much whatever you want,” says Greg. “That was the clincher for us.”

A school software migration is rarely simple, particularly within tight timeframes. Henley High School had just six months to implement Daymap while maintaining continuity for staff, students, and parents.

“This wasn’t moving from paper to digital – we already had everything online,” Greg says. “We had to replicate what we had and get to about 95% of that within six months. That’s a big ask.”

The implementation was structured and highly collaborative, with strong support from Civica’s team.

“It was very well planned and very straightforward,” he says. “We had clear steps, dedicated support, and regular check-ins. If something came up, we could get onto it straight away.”

Greg also highlights the importance of having a partner who understands the realities of schools.

“They really get how schools operate,” he notes. “That makes a huge difference when you’re trying to solve specific challenges unique to schools - not just technical ones.”

“Tennille, our account manager, has been outstanding throughout the whole process,” Greg adds. “She’s responsive, proactive, and genuinely has our back. Having previously worked in schools herself, she really understands how things operate day-to-day, which is why she gets it and can support us in a way that’s practical and meaningful.”

Empowering teachers and leveraging experience

While change management is always a factor in education, Henley High School took a pragmatic approach – leaning on internal expertise to support adoption.

“I was pretty honest with staff – I was learning alongside them,” Greg says. “But we had people who’d used Daymap before, so we leaned on them as champions.”

This collaborative model, combined with strong digital literacy across staff, helped accelerate adoption.

“The teachers have caught on pretty fast,” he adds. “A lot of it is just learning where things are -it’s the same functions, just in a different place.” The teacher reporting tools were familiar and intuitive, helping staff adapt quickly to the new system.

A connected school community

For parents, the transition has been largely seamless – an important outcome for a school with an established digital engagement model.

“If the phone’s not ringing, it means it’s working,” Greg says. “We haven’t had complaints, which is a good sign.”

Daymap’s integration capabilities have also opened new opportunities, particularly in data and analytics.

“We’re now building out Power BI dashboards using Daymap data,” he explains. “It means we can bring everything together – attendance, achievement, wellbeing—and see it all in one place.”

By combining attendance, achievement and wellbeing information, Daymap provides a more holistic approach to student data management and reporting.

Looking ahead

With Daymap now embedded, Henley High School is focused on continuous improvement – both internally and in partnership with Civica.

“We’re always feeding back ideas – what could be better, what would help us more,” says Greg. “That’s part of the process.”

For Greg, the shift to Daymap means more than a system change. It’s providing a platform for ongoing innovation.

“It’s about having the flexibility to evolve,” he says. “And that’s exactly what we needed.” With Daymap school management software, Henley High School has a flexible foundation for future curriculum and reporting requirements.
