Cwm Taf Morgannwg University Health Board (CTMUHB) District Nursing Case Study
CTMUHB’s district nursing teams were challenged by labour-intensive, manual scheduling that took senior nurses away from critical clinical care. By piloting Civica Scheduling as part of a Welsh Government–funded Neighbourhood Nursing Pilot, the teams revolutionized their approach, reduced administrative burdens, and enhanced both patient and staff safety.
The Challenge
-
Excessive Manual Effort: Senior district nurses spent three to four hours daily on manual scheduling
-
Data Duplication & Under-Reporting: The need to enter visit details into a basic database led to duplicated efforts and chronic under-reporting of clinical activity
-
Risk of Errors: Manual processes increased the clinical risks of missed or duplicate visits, further straining an already busy service
-
Staff Morale: The repetitive, time-consuming task left teams feeling deflated and frustrated, detracting from their clinical leadership and patient care.
The Solution
CTMUHB turned to Civica Scheduling (formerly Malinko) to automate the scheduling of home visits across two district nursing teams. Inspired by the successful Buurtzorg model from the Netherlands, the initiative involved:
-
Pilot Implementation: Testing the e-scheduling system as part of the broader Neighbourhood Nursing Pilot.
-
Change Management: Encouraging enthusiastic adoption despite the challenges of shifting from manual to digital processes
-
Efficiency Enhancements: Automating visit scheduling to reduce duplication, lower the risk of clinical incidents, and free up valuable time for patient care and leadership.
Key Outcomes
Increased Efficiency: Significant reduction in manual scheduling hours allowed experienced nurses to refocus on clinical duties and team support.
Enhanced Safety: Fewer scheduling errors contributed to improved patient and staff safety by reducing the incidence of missed or duplicate visits.
Improved Workforce Planning: Automated data capture provided rich insights into caseload management and resource allocation, informing future planning.
Boosted Staff Morale: The streamlined process reduced frustration among staff, fostering a more positive work environment.
Transforming District Nursing Care
By embracing Civica Scheduling, CTMUHB has set a new standard for digital transformation in community healthcare. The move from cumbersome manual processes to an efficient, automated system not only enhances clinical efficiency but also lays the groundwork for sustainable, data-driven workforce planning.
