John Whitgift Foundation to modernise people and payroll management across schools and care homes
Croydon charity selects Civica HR & Payroll software for sector experience and integration level
John Whitgift Foundation is one of the largest bursary providers in the UK. It has awarded more than £6 million in bursaries this year alone and employs over 1,000 people across its foundation schools, care homes and Carers' Information Service.
The Foundation has engaged Civica HR & Payroll to provide software to manage all aspects of the employee lifecycle across its diverse organisation. The solution will include integrated HR, payroll and time and attendance management software and will be securely managed by Civica in the cloud.
Helen Bidgway, Head of Human Resources at John Whitgift Foundation commented:
We needed a solution that could handle our complexity. Contracts, pensions and working patterns can be quite different across our care homes and schools and many of our employees hold multiple roles with combinations of these. Civica could support this as standard.
Through their care homes, the Foundation aims to give older people a true sense of community and comfort in later life. A key part of the project will be to modernise planning and managing employee shifts in this area. It’s important the correctly skilled people are scheduled to work at any time. The current paper-based timesheet system will be replaced with cloud-enabled software and biometric clocking to improve efficiency and offer employees greater transparency around working times and pay.
“We’d identified that in order to achieve the automation and efficiencies that are possible, our time and attendance system needed to be fully integrated with our HR and payroll software. Civica was able to provide a single database solution that covered all three,” said Helen.
The software will also modernise HR, payroll and pensions management across the Foundation’s three schools in Croydon: Old Palace of John Whitgift, Trinity and Whitgift. Through its bursary scheme, the Foundation grants thousands of young people access to an outstanding education that many could not otherwise afford. It will cover the entire employee life-cycle including onboarding, absence, performance, training and CPD. For improved efficiency and data accuracy, Civica HR will integrate with the Foundation’s management information systems and existing recruitment platform.

They could both manage term-time only contracts effectively and offered two-way integration with Capita SIMS and iSAMS. Coupled with specialist education reporting, this will improve data-accuracy and provide valuable real-time analytics to the senior leadership team,” said Helen.
